ScienceDirect Transactional Download Balances and Edit Balance Notifications

This page displays Account and Group level draw-down balances. This page also allows the setup of Balance E-mail Notifications for depleted or nearly depleted balances.

Note

A transactional balance is based upon a period of time that ends on the first day of the following month. This is known as a Period. For example If you are reviewing transactional balance information for the month of October, the transactional balance period would be from October 1st and will end at 12:00 a.m. November 1st.

To View Account and Group Balances

Account Level Balances displays transactional download and balance information for an Account and includes the following information:

Account Name	The name of the Account.
Allowances(#)	The number of ScienceDirect downloads allowed. Used this Period The number of ScienceDirect downloads currently used. Balance The remaining number of ScienceDirect downloads allowed.
Prepaid Transactions(#)	The number of prepaid ScienceDirect transactions allowed. Used this Period The number of prepaid ScienceDirect transactions currently used. Balance The remaining number of prepaid ScienceDirect transactions.
Prepaid Transactions($)	The dollar amount of prepaid ScienceDirect transactions allowed. Used this Period The dollar amount of prepaid ScienceDirect transactions currently used. Balance The remaining dollar amount for prepaid ScienceDirect transactions.
Invoiced Amount($)	The dollar amount invoiced for a transaction period. Used this Period The dollar amount currently invoiced. Balance The dollar amount remaining to be invoiced.

To Configure Balance E-Mail Notifications

The Balance E-Mail Notifications allows you to configure balance e-mail notifications:

1. To configure an Allowance e-mail notification:
   • Click Notify when Account Balance = 0 to receive an e-mail notification when the number of ScienceDirect downloads reaches zero.
   • Click Notify when Account Balance = [number] to receive an e-mail notification when the number of ScienceDirect downloads reaches a specific number.
2. To configure a Prepaid Transactions(#) e-mail notification:
   • Click Notify when Account Balance = 0 to receive an e-mail notification when the number of prepaid ScienceDirect transactions reaches zero.
   • Click Notify when Account Balance = [number] to receive an e-mail notification when the number of prepaid ScienceDirect transactions reaches a specific number.
3. To configure a Prepaid Transactions($) e-mail notification:
   • Click Notify when Account Balance = 0 to receive an e-mail notification when the dollar amount of prepaid ScienceDirect transactions reaches zero.
   • Click Notify when Account Balance = [number] to receive an e-mail notification when the dollar amount of prepaid ScienceDirect transactions reaches a specific number.
4. To configure an Invoiced Amount($) e-mail notification:
   • Click Notify when Account Balance = 0 to receive an e-mail notification when the invoice dollar amount reaches zero.
   • Click Notify when Account Balance = [number] to receive an e-mail notification when the invoice dollar amount reaches a specific number.

Notes

E-mail notifications will be sent to the Consortium and Account Administrator. When you configure your e-mail notifications, you have the choice to receive an e-mail message when the balance equals 0, or when the balance equals a number that you enter. These options are considered separate, and if both are selected, you will receive two separate e-mail notifications based upon the configuration you enter.
